Policy
1. Program Enrollment & All-Inclusive Pricing
Our pricing is designed for transparency. All tuition includes software licensing, AI API credits, and administrative onboarding fees.
-
Private 1:1 Tutoring: Billed at the time of booking to secure your instructor’s dedicated hour
2. Cancellation & Refund Policy
In alignment with Bay Area enrichment standards, our refund windows are as follows:
| Program Type | Full Refund Window | Partial Credit / Refund | No Refund / "Late Cancel" |
| Private 1:1 | 24+ Hours Notice | The "Virtual Pivot"* | < 24 Hours Notice or no show |
| 12-Week Batch | 7+ Days before start | Prorated (less $75 fee) | After Class 2 |
| Summer 1-Week | 30+ Days (less deposit) | 50% Credit (14–29 Days) | < 14 Days Notice |
The "Virtual Pivot": For 1:1 sessions, if a student cannot attend in person, the session may be converted to a Virtual Zoom Session at the scheduled time to avoid a "Late Cancel" forfeiture of the fee.
3. Attendance & Late Pickup
-
1:1 Rescheduling: One (1) complimentary reschedule is permitted per month with 24-hour notice.
-
Group Absences: Due to fixed instructor-to-student ratios, we do not offer makeup sessions for group classes. A digital "Session Recap" and AI Prompt Log will be sent to the student.
-
Late Pickup Fee: We provide a 5-minute grace period. * Minutes 6–15: $1.00 per minute.
-
Minutes 16+: $2.00 per minute (accrued from the end of class). Fees are billed to the card on file.
-
4. Data Privacy & Physical Safety (CA Compliance)
Bay Area Bright Minds operates in strict accordance with the Student Online Personal Information Protection Act (SOPIPA) and COPPA.
-
AI Data Privacy: We exclusively use Enterprise/API-grade AI tools. Student data is never used to train third-party AI models. * Instructor Safety: All staff have cleared a CA Department of Justice (DOJ) LiveScan background check and are California Mandated Reporters.
-
Ratios: We maintain a maximum 1:10 staff-to-student ratio to ensure safety and personalized mentorship.
5. Academic Integrity & Code of Conduct
We teach students to use AI as a "Co-Pilot," not an "Auto-Pilot."
-
Originality: Students must use AI to iterate and brainstorm, but final projects must reflect their own critical thinking.
-
Conduct: We reserve the right to dismiss any student (without refund) who uses AI for bullying, generating inappropriate content, or violating school academic honesty policies.
